1. Who we are

Shortman Electrical ("we", "our", "us") is a domestic electrical contractor based in Bristol. We are the data controller for the personal information described in this policy.

If you have any questions about how we handle your information, contact us using the details in section 10.

2. Information we collect

Information you give us

When you complete the contact form on this website, we collect:

  • Your name
  • Your email address
  • Your phone number (optional)
  • The subject of your enquiry and the message you write

If you contact us by phone, email or WhatsApp instead, we hold whatever information you choose to give us in that message.

Information collected automatically

When you submit the contact form we also record:

  • The IP address the enquiry was sent from
  • Your browser's user-agent string (the browser and device type it reports)
  • The date and time of the submission

We record these two technical details to help identify and block spam and abusive submissions. They are not used to build a profile of you or to track you across websites.

Our hosting provider also keeps standard server logs of requests made to the site, which include IP addresses.

We do not use website analytics, advertising or tracking technology of any kind.

3. Why we use your information, and our legal basis

  • To respond to your enquiry and provide a quote. Legal basis: taking steps at your request before entering into a contract.
  • To carry out work you have booked and to contact you about it. Legal basis: performance of our contract with you.
  • To keep records of work carried out and certificates issued. Legal basis: compliance with our legal obligations, and our legitimate interest in being able to evidence our work.
  • To protect the website from spam and abuse. Legal basis: our legitimate interest in keeping the site secure and usable.

We do not send marketing emails, and we do not sell, rent or trade your personal information to anyone.

4. How long we keep it

Enquiries that do not lead to work are kept for up to 12 months, then deleted.

Where we carry out work for you, we keep records of that work, including electrical certification, for at least 6 years. This allows us to honour our guarantees, answer questions about past installations, and meet our legal and insurance obligations.

5. Who we share it with

We do not sell your data. We share it only with the service providers needed to run this website and our business:

  • Render — hosts this website and the database your enquiry is stored in.
  • Cloudflare — delivers the icon font used on every page. Your browser requests these files directly, so Cloudflare receives your IP address.
  • Google Maps — the map on our contact page is loaded from Google. If you visit that page, your browser contacts Google directly and Google may set cookies or receive your IP address, under Google's own privacy policy. No other page loads Google content into your browser.
  • Our email provider — enquiry notifications are emailed to us, so your message passes through our email provider.

We may also disclose information where we are required to do so by law.

6. Cookies

This website sets only the cookies it needs to function:

  • A security cookie used to protect the contact form against cross-site request forgery.
  • A session cookie, used only if you log in to the site's administration area. Ordinary visitors are never issued one.

We do not use analytics, advertising or tracking cookies. As noted above, Google may set its own cookies when the map on the contact page loads.

You can block or delete cookies in your browser settings, though the contact form may not work if you block them.

7. Where your data is held

Our website and database are hosted on servers operated by Render. Some of the providers listed in section 5 operate internationally, which means your information may be transferred outside the UK. Where that happens, those transfers are covered by the safeguards required under UK data protection law, such as the UK International Data Transfer Addendum or an adequacy decision.

8. Security

The website is served over an encrypted HTTPS connection, and the administration area is password protected. We take reasonable steps to protect your information, but no method of transmission or storage over the internet is completely secure and we cannot guarantee absolute security.

9. Your rights

Under UK data protection law you have the right to:

  • Ask what personal data we hold about you, and receive a copy of it
  • Have inaccurate data corrected
  • Ask us to delete your data, where we have no ongoing legal reason to keep it
  • Object to, or ask us to restrict, our processing of your data
  • Ask us to transfer your data to another provider

To exercise any of these rights, contact us using the details below. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
